What it is
Onboarding is what happens when someone joins your Discord server. The bot greets them, asks for their RuneScape name, links it to their Discord account, and gives them roles. From then on the bot knows who they are for events, competitions, rank roles and staff commands.
It is set up in clan management under Discord, on the Member Onboarding tab.
The short version
- Turn on Member Onboarding & Verification.
- Pick a Verification Method.
- Choose a Welcome Channel and the roles to hand out.
- Save, then test it with an account that isn't an admin.
Step 1: turn it on
Switch on Member Onboarding & Verification at the top of the tab. Nothing below it does anything while this is off.
Step 2: choose how members verify
Under Verification Method, pick one.
| Method | What the member does | Good for |
|---|---|---|
| Verify via DM | The bot messages them privately. They reply with their RuneScape name. | Keeping your channels clear. |
| Verify via Command | They run /verify with their name in your welcome channel. |
Servers where people have DMs from strangers switched off. |
| Verify via Channel | They type their name in a dedicated channel. The bot links it and deletes the message. | The simplest experience for members. |
If you choose Verify via Command
New members need to be able to use the command. Whatever role people have when they first join, often @everyone or an unverified role, needs these permissions in your welcome or commands channel:
- View Channel
- Read Message History
- Send Messages
- Use Application Commands
Without them a new member can't run /verify.
If you choose Verify via Channel
Under Verification Channel Configuration:
- Pick an existing channel under RSN Verification Channel, or choose a category and press Create Channel to have the bot make one.
- Edit the Pinned Instruction Message if you want your own wording, and press Re-post Message to update the pinned post.
The bot removes every message members post there, whether it worked or not, so the channel only ever shows the pinned instructions.
Step 3: choose when the prompt is sent
Under Onboarding Trigger:
| Trigger | The prompt is sent |
|---|---|
| On Server Join (Default) | As soon as someone joins. |
| When Role is Added | When a role you choose is given to them. |
| When Role is Removed | When a role you choose is taken off them. |
| After Discord Onboarding Completes | When they finish Discord's own onboarding questions. |
For the two role triggers, choose the role under Trigger Role. Use these if you have a rules screen or another bot that gates new members first.
Step 4: channels and roles
Under Channel & Role Sync Assignments:
| Setting | What it is for |
|---|---|
| Welcome Channel | Where new verified members are announced. |
| Staff Approval Channel | Where requests go when someone tries to link a staff-rank name. See Staff approval. |
| Verified Member Role(s) | Given to verified clan members. Optional if you use rank roles. |
| Guest Role(s) | Given to verified players who are not in the clan. |
To give each clan rank its own role too, see Sync clan ranks to Discord roles.
Step 5: the welcome messages
There are two, and you can use either or both.
Welcome Greeting Message
A plain message posted in the Welcome Channel when anyone joins.
- Write your own text under Message. Use
{name}for their display name and{mention}to ping them. - Auto-Delete (seconds) removes it after that long. Leave it blank to keep it.
Recognition Embed
A card posted when the person joining is already linked to a RuneScape name, whether they are in your clan or a guest from another one. It shows their name, and their clan and rank if known.
Only the Intro Line is yours to edit, with the same {name} and {mention} placeholders. The name, clan and rank are added for you.
Optional settings
| Setting | What it does |
|---|---|
| Require Website Verification | The bot holds back roles until the member has also verified on the RSClanTrack website. |
| Enable Reminders | Reminds members who haven't verified or linked yet. Only people who joined after the bot did are reminded. |
| Nickname Sync | See below. |
Nickname Sync
| Choice | Effect |
|---|---|
| Off | The bot never touches nicknames. |
| Set on Verify | Their nickname is set to their RuneScape name when they verify. If they rename themselves later, it is left alone. |
| Force Match RSN | Set on verify, and changed back any time it is changed away from their RuneScape name. |
Staff approval
Linking a name gives someone that name's clan rank in Discord. To stop a stranger claiming to be one of your admins, a request to link a staff-rank RuneScape name isn't completed automatically. The bot posts it in the Staff Approval Channel with approve and deny buttons, and an administrator decides.
If no staff approval channel is set, the request goes to the Welcome Channel instead, so set one that only staff can see.
Keep a log
Under Bot Admin Logging Channel, pick a private Audit Log Channel. The bot records what it does there: role changes, staff approvals, kicks and bans from server safety features.
Filter: Key Important Events Only keeps it to the major events and leaves out routine role updates.
What members see
The member's side of this is in Link your RuneScape name. It is worth pinning that link in your welcome channel.
Linking someone yourself
If a member is stuck, staff can link them:
- In Discord:
/staff member link, with the member and their RuneScape name. - On the website: set their Discord ID on the Member Roster.
/staff member unlink removes a link staff made.
Common problems
New members can't see or run /verify.
Their starting role lacks Use Application Commands in that channel. See If you choose Verify via Command.
Nobody got a DM. Members with direct messages from server members switched off can't be messaged. Switch to the command or channel method.
A member verified but got no roles. Check a role is set under Verified Member Role(s) or mapped to their rank, that the bot's own role sits above those roles in your server's role list, and whether Require Website Verification is holding them back.
"Already Linked."
That RuneScape name is linked to a different Discord account. Unlink it first with /staff member unlink if that is wrong.
"Player Not Found." The name isn't on the RuneScape hiscores. Check the spelling, including spaces.
Nicknames aren't changing. Discord doesn't let a bot rename the server owner, or anyone whose highest role is above the bot's.
