Rank-ups, demotions and kicks

Work through the lists of members due a promotion, a demotion or a kick, set inactivity rules, and protect members with exemptions and leave.

What it is

The Rank Management page is your to-do list. It shows who is due a promotion, who is due a demotion, and who has been inactive long enough to be removed. You act on each one in RuneScape, and the site clears it once it sees the change.

The lists are driven by your progression rules. If the page says progression is off, turn it on there first.

Nothing here changes a rank or kicks anyone by itself. RSClanTrack can only read your clan, not edit it. Every list says "Update in RS3 to clear" or "Kick in RS3 to clear" for that reason.

Promote members

  1. Open Rank Management in clan management.
  2. Look at Promotions. It shows how many are due and, for each member, the rank they should move to.
  3. Promote them in game.
  4. The site picks the new rank up the next time it reads your clan's roster, and the member drops off the list.

How a member lands on this list:

  • Points mode: their rank points reached the next rank's target.
  • XP & Time Goals mode: they met the clan XP and days you set.

With Allow Rank Skipping on, the list shows the highest rank they qualify for. With it off, it shows the next rank up only. A Rank-Up Cooldown keeps a member off the list until enough days have passed since their last change.

Demote members

The Demotions list shows members whose points have fallen below their current rank's target. That happens through point decay for inactivity, or because staff lowered their points.

Demote them in game and they clear from the list.

There are no demotions in XP & Time Goals mode, because clan XP and time in the clan can't go down.

Set the inactivity rules

On the Progression Rules page, under Inactivity Rules, turn on the Master switch.

Setting What it does
MIA Threshold How many days unseen before the rules apply to a member. Default 30.
Inactive Action What happens then: Flag for Kick or Point Decay.

Flag for Kick

The member goes straight onto the Awaiting Removal list when they pass the threshold.

Point Decay

The member loses points on a schedule instead: so many points every day, week or month. They drop ranks as their points fall, and are only listed for a kick when they reach 0 points.

Force kick after adds a hard limit. A member with a lot of points can take a long time to reach 0, so this also lists anyone who has been inactive for that many days, whatever points they have left. Leave it blank to turn it off.

Two switches that decide who is covered

Setting Off means
Kick Clan Admins Admin rank and above never land on the kick list. They can still decay or be flagged.
Include Tagged Alts Alts skip rank-ups, demotions and kicks. An alt is still kicked along with its main.

Work through the kick list

Awaiting Removal lists members who have hit your kick threshold, with their rank and the reason.

  1. Kick the member in game. They clear from the list once the site sees they have left.
  2. Or press Cancel Kick to keep them. That gives the member an exemption, which lasts until you remove it.

Watch who is going inactive

Inactive Roster lists everyone unseen for longer than your threshold, with:

  • Last Seen
  • Status, such as Decaying, To be kicked or Exempt
  • Time Until Kicked

Use it to message people before they are removed.

"Last seen" comes from real activity: entries in the member's RuneMetrics log and XP gains. A member with a private profile who is only skilling can look quieter than they are. Dates marked Unconfirmed come from before RSClanTrack was tracking your clan, so treat those with care.

Protect a member

Kick overrides

On the Inactive Roster, or in the Kick Override column of the Member Roster:

Button Effect
Add Exemption The inactivity rules skip this member until you press Remove Exemption.
Flag for Kick Puts the member on the kick list now, whatever their activity.
Cancel Kick Takes them off the kick list and exempts them.

Leave of absence

For someone taking a break, use the Leave of Absence page instead of an exemption.

  1. Under Put a Member on Leave, choose the member.
  2. Set Leave started and, if they know it, Expected back.
  3. Add a note if useful, and press Save.

While on leave a member can't be kicked, demoted or lose points for being inactive. When the return date passes, protection ends by itself and their inactivity clock restarts from that date, so they get your full threshold to log in again.

Fix a member's record

The Member Roster page is where you correct things by hand. It has its own guide: Manage the member roster. In short:

  • Rank Points: set a member's points. The change is recorded in the points history.
  • Join date: fix it for members who were in the clan before it was added to the site.
  • Discord ID: link a member's Discord account yourself.
  • Alts: tag a character as someone's alt.
  • History: see every point change for that member.

Smart Rename Detection spots when a member changes their RuneScape name and carries their points, rank and history over to the new name. If a rename is matched wrongly, contact RSClanTrack in Discord to have it reverted.

Keep Discord roles in step

When you change a rank in game, the bot can swap the member's Discord role to match. See Sync clan ranks to Discord roles.

Common problems

I promoted someone and they are still on the list. The list clears when the site next reads your clan's roster from RuneScape, which is not instant. Give it a little while.

A member was listed for a kick while on holiday. Put them on leave of absence, or press Cancel Kick to exempt them.

An admin appeared on the kick list. Kick Clan Admins is on. Turn it off to keep Admin and above off the list.

A member's alt is being flagged. Tag it as an alt on the Member Roster and leave Include Tagged Alts off.

Someone active shows as inactive. Their profile may be private, so the site can't see their activity log. Ask them to make it public, or add an exemption.
