What it is
The Warning System is your clan's private record of rule-breaking: who did what, the evidence, and what was done about it. It keeps a history for each person, so a decision doesn't depend on someone's memory.
Only clan admins can see it. Members can't see their own record or anyone else's.
A ban here is a record, not an action. RSClanTrack can't kick anyone from your clan in RuneScape. Remove them in game yourself. What the record does is flag them and alert you if they return.
Log an incident
- Open Warning System in clan management and press Add Incident.
- Under People Involved, add each person:
- A clan member, by name.
- Or a guest, someone outside the clan, by RuneScape name and, if you have it, Discord ID.
- For each person, choose the action:
- No Action Taken: logged for the record only.
- Warning
- Ban
- Under Details, write a Reason. It is optional, but future admins will thank you.
- Add Evidence photos if you have screenshots. PNG, JPEG, WEBP or GIF.
- Press Log Incident.
One incident can involve several people, each with a different action.
Read someone's record
The Warning System page lists everyone with a record. Each shows their counts of warnings, bans, no-action entries and total logged, and is highlighted by how serious their record is. Use Search to find someone.
Click a person to open their record. You see:
- Their Warnings count against your maximum, such as 2/3.
- Every incident, newest first, with its reason, evidence, who logged it and when.
- How many other people were involved in each.
From here you can Add Incident, Ban or Unban.
Change or undo an incident
- Edit changes the people, actions, reason or photos. Tick a photo's ✕ to remove it when you save.
- Revoke cancels an incident without deleting it. It stays in the history marked Revoked, with who revoked it, when and why. A revoked warning no longer counts.
- Unban revokes every active ban for that person in one step.
Nothing is ever deleted, so the history stays honest.
Settings
Press Settings on the Warning System page.
Max warnings before ban
How many active warnings count as "the limit". It is a visual flag only: the list and the member's record are highlighted when someone reaches it, but nobody is banned automatically. An admin always decides.
Auto-remove warnings
Switch it on and set Days until a warning expires. Active warnings older than that are revoked automatically. They are marked expired, not deleted, so the history is kept.
Bans are never removed automatically.
Banned-rejoin alert
The site can tell you when a banned person comes back, whether they rejoin your Discord server or the clan in game. It matches on Discord ID and RuneScape name, and follows name changes.
- In Settings, find Banned-Rejoin Alert.
- Choose an Alert Channel, ideally one only staff can see.
- Optionally choose a Ping Role.
- Save.
This needs the bot in your server. If the page says the bot can't reach your server, use Check Bot Status or Invite / Link Bot.
Bans and alts
When you ban a member who has alts tagged in the clan, the site shows Known Alts Still In Clan as a reminder. Press Go to Member Roster to find them. Tag alts as you learn about them so this works: see Manage the member roster.
Good practice
- Always attach evidence. A screenshot settles arguments months later.
- Record the Discord ID for guests. Names change, IDs don't.
- Log "No Action Taken" too. A pattern of minor incidents is useful to see.
- Remove them in game as well. The record doesn't do it for you.
Common problems
I banned someone and they are still in the clan. The ban is a record. Kick them in RuneScape and, if needed, from Discord.
No alert came when a banned player rejoined. Check an alert channel is set and the bot can post there. The alert needs a Discord ID or RuneScape name on the banned person's record to match against.
A warning disappeared. It expired under Auto-remove warnings. It is still in the record, marked expired.
A photo won't upload. It must be an image in a supported format, and it has to pass the site's automatic safety check.
