Take attendance

Record who turned up to an event, award rank points for it, and add notes such as winners and prize splits.

What it is

Attendance is the record of who actually came, as opposed to who signed up. It feeds three things:

  • The events attended count on the clan's activity leaderboard.
  • Rank points, if your clan awards them for events.
  • The event's own page, where members can see who was there.

Clan staff, the event's host and its co-hosts can take attendance.

Take attendance on the website

  1. Open the event from the Calendar.
  2. Press Manage Attendance.
  3. Tick everyone who attended. People who registered are listed first.
    • Use the search box to find a name.
    • Mark All ticks everyone listed.
    • Uncheck Inactive (0 Pts/Tiles) unticks entrants who scored nothing. Useful for bingo and points events.
  4. Review the summary at the bottom, which shows how many are marked present.
  5. Press Sync Changes.

Nothing is saved until you press Sync Changes. If you leave part-way, your ticks are kept as a draft and restored next time, with a notice and a Discard button.

Take attendance in Discord

  1. Type /staff event attendance and pick the event.
  2. Tick members in the panel the bot shows.
  3. To add everyone in a voice channel at once, use the panel's voice channel option.
  4. Save.

It writes to the same record as the website, so you can start in one and finish in the other.

The attendance reminder

When an event ends, the bot can post a reminder in Discord asking the hosts to take attendance.

  • It is on by default. Switch it off for one event with Discord Attendance Reminder in the event's advanced settings.
  • It needs a channel set for attendance reminders in Management > Discord > Notifications.
  • Tag the Host in the same place makes the reminder mention the host.

Rank points for attending

If your clan uses rank progression and has event points switched on, each member you mark present earns the clan's points-per-event amount.

  • Unticking someone later and syncing takes those points back.
  • Cancelling the event clears its attendance and takes the points back too.

Progression is set up in Management > Progression.

Hosts, co-hosts and notes

The attendance panel is also where you manage who ran the event.

Field What it is for
Lead Host Who organised the event. Counts as hosting on the activity leaderboard.
Co-Hosts Helpers. They can take attendance too, and it counts as co-hosting for them.
Event Notes Prize splits, winners, anything worth remembering. Shown on the event to everyone who can see it. Press Save Notes.

What members see

Once the event has started, members get a View Attendance button on the event. It shows who was marked present, and any event notes. They can't change it.

Common problems

Someone attended but isn't in the list. Search for them by name. Anyone in the clan can be ticked, not only people who registered. Guests who registered appear marked as Guest.

I ticked people and nothing changed. Ticks are a draft until you press Sync Changes.

Points went to the wrong person. Untick them, tick the right member, and sync again. The points follow.

"Only clan admins and this event's hosts can take its attendance." Ask the host to add you as a co-host from the attendance panel.
