Set up Discord for events

Connect the bot, choose where events are announced, set reminders and pings, give events and teams their own channels, and decide who can use staff commands.

What the bot does for events

Once it is set up, the bot can:

  • Announce a new event, and list it in your server's Events tab.
  • Remind people before it starts, in a channel and by direct message.
  • Post an event's start, end, standings and task unlocks.
  • Give each team its own thread or channel for evidence and progress.
  • Remind hosts to take attendance when it ends.
  • Post a competition's sign-ups, hourly standings and result.
  • Let members and staff do most things with slash commands.

Everything here is under Discord in your clan's management area.

Step 1: add the bot

The full walkthrough, with what to do if your server isn't detected, is in Invite the Discord bot. In short:

  1. Open clan management and choose Discord.
  2. If it says No Discord server linked, press one of the buttons under Ready to add?:
    • Add with Admin Access: the bot can do everything with no further setup.
    • Add with Minimal Access: you grant only what it needs, and add permissions per channel yourself.
  3. Pick your server in Discord and approve.

The server is linked to your clan automatically. The page then shows it, and the settings below become available.

Step 2: choose where things are posted

Open the Notifications tab. The Live Notification Router sends each kind of post to a channel. Three matter for events:

Route What is posted
New Event A post when an event is created.
Event Warning Reminders before an event starts.
Attendance Reminders A nudge to the hosts when an event ends.

For each one, pick a channel. A route with no channel posts nothing. If a route shows Integration Error, the bot couldn't post there: check its permissions in that channel.

Reminder times

Under Event Warning, choose which reminders post to the channel:

  • 1 Hour Before
  • 24 Hours Before
  • Custom: your own number of minutes before

These control the channel post only. Each member chooses their own direct-message reminders in their account settings.

Pings

  • Ping Role is mentioned on new-event posts and reminders. Leave it unset for no ping.
  • Ping role by event type lets a kind of event ping a different role, such as your PvM role for bossing. Anything left on "Use default ping role" uses the main Ping Role.

Attendance reminders

Tag the Host makes the attendance reminder mention the event's host.

Step 3: event sync and direct messages

Open the Events tab.

Setting On means
Discord Events Auto-Sync Events you create or change on RSClanTrack are added to your server's own Events calendar, and kept up to date.
Direct Message Event Alerts Members who opted in get direct messages about upcoming events. Off stops them for the whole clan.

Step 4: decide who is staff

Open the Roles & Ranks tab and find Bot Staff Commands. It shows two lines:

  • Staff commands: the clan rank, and above, that can use /staff commands.
  • Creating events: the clan rank, and above, that can create events.

These follow your clan settings: the first is your admin rank, the second is Minimum Rank Required to Create/Host Events.

A member is recognised by the RuneScape name linked to their Discord account, so staff need to have run /verify. Linking is covered in Set up member onboarding.

There is also a switch that treats anyone with Discord's Manage Server permission as staff. It is on by default. Switch it off if your Discord admins aren't all clan staff.

Give one event its own channel

By default an event's posts go to the channels from Step 2. To send one event's posts somewhere else:

  1. Open the event and press Edit Event.
  2. In the Discord section, set Event channel. This event's reminders, start and end are posted there, plus standings and task unlocks for bingo and points events.
  3. Optionally set Ping role:
    • Use the clan's usual ping
    • No pings for this event
    • or a specific role, pinged in place of the usual ones.
  4. Save.

From Discord, the channel option of /staff event create sets the event channel as you create it.

Give each team its own place

For bingo and points events. A team's own place is where the bot posts that team's evidence, approvals and progress, and where members can drop a screenshot to submit it.

  1. Open the event and press Edit Event.
  2. Under Team updates, choose a layout:
Layout What happens
Pick each team's channel yourself You set a channel on each team's edit page after they sign up.
A thread per team Each team gets its own thread in the channel you choose, started with its first update.
A forum post per team Each team gets its own post in the forum you choose.
A channel per team Each team gets its own channel in the category you choose, named after the team. The bot needs the Manage Channels permission there.
  1. For the last three, choose the channel, forum or category.
  2. Save.

To have a team's thread or channel made before its first update, open the team's edit page and press Create now. Solo entrants get one each too.

Competitions

A competition's Discord settings are on its own form, not here: the leaderboard channel, ping role and whether it is listed in your server's Events. See Run a competition and Skill of the Week.

Permissions the bot needs

In any channel it posts to:

  • View Channel
  • Send Messages
  • Embed Links and Attach Files, for boards and standings
  • Read Message History

Members need one permission of their own: Use Application Commands, in every channel where they should be able to run the bot's commands. Server admins have it everywhere.

Where it creates things for you:

  • Manage Channels on a category, for a channel per team or per round.
  • Create Public Threads and Send Messages in Threads, for a thread per team or per round.
  • Manage Events, for Discord Events Auto-Sync.

Common problems

Nothing is posted when I create an event. The New Event route has no channel, or the bot can't post in it. Look for Integration Error on the route.

Reminders arrive in the wrong channel. The event has its own Event channel set, which takes over from the clan's usual one.

Staff commands say I'm not allowed. Your Discord account isn't linked to your RuneScape name, or your clan rank is below the staff rank. Run /verify, then check Bot Staff Commands.

The bot didn't make a team's channel. It makes it with the team's first update, not at registration. Press Create now on the team's edit page, and check the bot has Manage Channels on the category.

Commands don't show up for members. Members can only use the bot's commands in channels where their role has Use Application Commands. Server admins always can, so test with an ordinary member's account. Discord can also take a while to list new commands.
