What it is
A standard event is a calendar entry with a sign-up list: a skilling night, a minigame session, a citadel cap rally. Members register their interest, the bot can announce and remind, and afterwards you can take attendance.
The same form creates every kind of event, so most of this guide applies to boss, points and bingo events too.
Before you start
- You need a clan rank that is allowed to create events. It is set in Management > Clan Settings, under Minimum Rank Required to Create/Host Events. By default it is Admin and above.
- To announce in Discord, the bot has to be in your server. See Set up Discord for events.
Create the event
On the website
- Open your clan's page and choose the Calendar tab.
- Press Schedule Event. The form slides in.
- Fill in Event Details:
- Event Name
- Starts At (Local Time): this field is in your own time zone. The site converts it.
- Ends At (Optional): leave it empty for a one-hour event. Set it for anything longer, or anything that spans days.
- Event Type Category: Bossing, Skilling, Social and so on. It sets the colour and icon, and can decide which Discord role gets pinged.
- Leave Event Format on Standard Activity.
- Open Extra Details to add a description, cover image, world, host and co-host.
- Press Schedule Event.
In Discord
- Type
/staff event create. - Fill in name, date and time. Dates can be
today, tomorrow, a weekday,25/12or2026-12-25. Times are game time, such as20:00or8pm. - Add any optional extras: type, hours, host, world, description, guests, channel.
The event appears on the calendar straight away. If Discord is set up, the bot posts it to your new-event channel.
Settings explained
Extra details
| Setting | What it does |
|---|---|
| Description | Shown on the event and in its Discord post. |
| Cover image | The banner on the Discord event. 800 x 320 fits best. PNG, JPEG, WEBP or GIF under 8 MB. |

Privacy and access
| Setting | On means |
|---|---|
| Publicly Visible | Anyone can see the event on your clan's public calendar. Off keeps it to clan members. |
| Allow Guests | People outside the clan can sign up. |
| Discord VC Required | Marks the event as needing voice chat, so members know to join a voice channel. |
Advanced settings
Most of these only matter for points and bingo events, and are covered in those guides.
| Setting | What it does |
|---|---|
| Allow Late Registration | People can still register after the event has started. |
| Discord Attendance Reminder | When the event ends, the bot reminds the hosts in Discord to take attendance. |
Repeat an event
- On the form, open Extra Details and switch on Repeat Event Series.
- Set Repeat every: a number and Day(s), Week(s) or Month(s). 2 + Week(s) means every other week.
- Optionally set Stop repeating after. Leave it empty to repeat forever. To run weekly for 4 weeks, pick the date of the 4th event.
The site keeps creating future entries for you. Each one is its own event, with its own sign-ups and attendance.
When you edit, cancel or delete an event that is part of a series, you are asked whether the change applies to this event only or all in the series.
Edit an event
- Open the event from the calendar.
- Press Edit Event.
- Change what you need and save.
The edit form has a few settings the create form doesn't, including the event's own Discord channel and ping role. See Set up Discord for events.
After the event
Open the event and press Manage Attendance. The full walkthrough is in Take attendance.
Cancel or delete
These are different, and it matters which you pick.
| Cancel | Delete | |
|---|---|---|
| The event stays on record | Yes, marked Cancelled | No |
| Sign-ups are kept | Yes | No, removed for good |
| Counts as hosted on the activity leaderboard | No | No |
| Attendance already taken | Cleared | Removed |
| Can be undone | No | No |
Use Cancel when an event didn't happen. Use Delete when it was created by mistake.
- Cancel on the website: open the event and press Cancel Event. Only clan admins see this.
- Cancel in Discord:
/staff event cancel, pick the event, and confirm. - Delete: open the event from the calendar and press Delete. Deleting removes all registrations, tasks and submissions.
Cancelling also takes back any rank points members were given for attending.
Common problems
I can't see Schedule Event. Your rank isn't allowed to create events. Ask an owner to change the minimum rank in clan settings, or to create it for you.
The start time is wrong by a few hours.
The website's start field is in your local time, while Discord's time option is in game time. Check which one you used.
"That start time has already passed."
The bot refuses events in the past. Remember the time is game time, so 8pm means 20:00 UTC.
The bot didn't announce it. Check a channel is set for new events in Management > Discord > Notifications, and that the bot can post there.
