What it is
A boss event is a standard event with a role planner on top. Instead of only saying "I'm coming", members say which roles they can play. You then see at a glance whether you have a base tank, and can move people around until the team works.
There are two ways to run one:
- A boss event on the calendar, with reminders, attendance and points. This guide's main subject.
- A quick team, which any member can post in Discord in seconds. See Quick teams.
Create the event
On the website
- On the Calendar tab, press Schedule Event.
- Fill in the name and start time as for any event. See Run a standard event.
- Set Event Format to Boss Team Sign-up. A Boss & Team Roles section appears.
- Choose the boss. If you are not sure yet, leave it on Any boss (add roles later).
- Keep Set up this boss's usual roles ticked to start with the roles that boss normally needs.
- Press Schedule Event.
In Discord
- Type
/staff event create. - Fill in name, date and time, and choose a boss.
Adding the boss is what makes it a boss team. The bot loads the usual roles and posts the line-up in the channel you ran the command in, with a button for each role.
Set up the roles
Open the event. The planner is under Team Roles.
Change the boss or enrage
- Under Boss, pick the boss.
- Fill in Enrage % if the boss has one. It is only kept for bosses that use enrage.
- Tick Load the usual roles, if this boss has any to replace the current roles with that boss's standard set.
- Press Save boss.
Loading the usual roles replaces the roles already there, and everyone who had picked a role moves to the reserves. Do it before members start signing up, not after.
In Discord, /staff team setup does the same in one command.
Add, rename or remove a role
- Add: under Add a role, type a name and press Add role.
- Rename or remove: press Edit role on the role.
A role can hold as many people as you need, and one person can hold several roles. There is no limit to enforce.
Bosses with phases
Some bosses need people to change jobs between phases.
- Under Add a phase, type the phase's name.
- Choose Same roles as to start it as a copy of an existing phase.
- Press Add phase, then edit that phase's roles.
A member can hold a different role in each phase.
Get members into roles
Members put themselves in. They can:
- Press Take this role on the event page.
- Run
/event rolesin Discord. - Press a role button on the line-up post.
To post or re-post the line-up in a channel, use /staff team post.
Anyone signed up without a role is listed under Reserves.
Move people yourself
On the website: drag a name onto a role, or use the menu beside the name. Drag it to Reserves to take them out of a role.
In Discord: /staff team assign, choose the event, the member and the role. Leave the role empty to take them out of every role.
You can place someone who hasn't signed up. Assigning them registers them for the event too.
After the trip
Take attendance as for any event: Take attendance.
Quick teams
Quick teams are for "anyone up for Vorago in an hour?". Any member can make one, not only staff.
- Type
/team createand choose the boss. - Optionally add enrage, a date and time, a note, or your own roles separated by commas.
- The bot posts the team with a button per role. Others press a button to join.
The person who made it gets buttons to ping the team when it is ready, mark it completed, or cancel it. /team list shows every team that is open.
Quick teams are deliberately lightweight:

Common problems
The boss I want isn't in the list. Leave it on Any boss and add your own roles. In a quick team, use the roles option.
The Team Roles section isn't on the event. The event isn't a boss team. Edit it and set the format to Boss Team Sign-up.
"Only clan admins and this event's hosts can plan its team." You are not the host or co-host of that event, and your rank isn't staff. Ask the host to add you as a co-host.
The bot couldn't post the line-up.
It lacks permission to post in that channel. Run /staff team post in one where it can.
